This privacy statement explains what Brand Control Rooms does with your personal details and for what purpose this is done.

2. Use of personal data

Brand Control Rooms knows it is of great importance that your personal data is treated correctly. That is why we process your personal data with great care.

This means that Brand Control Rooms:

  • Clearly states the purposes for which the personal data are processed. This is done through this privacy statement. 
  • Collection of personal data limits to only the personal data that are necessary for the purposes for which they are processed. 
  • Requests your permission to process your personal data in cases where your consent is required. 
  • Not to pass on your details to third parties, unless this is necessary to provide the requested service or when there is a legal obligation. 
  • When sharing your data, make agreements with third parties to ensure, among other things, that they are not used for other purposes. 
  • Takes appropriate security measures to protect your personal data and also requires that from parties that process personal data on the instructions of Brand Control Rooms.

Personal details of customers 

 Personal details of customers are processed for the following purposes:

  • Administrative purposes; 
  • Communication about the assignment; 
  • To give effect to the received order. 

 The basis for the processing is: 

  • This is necessary for the execution of the agreement.

For the above purposes we may process the following personal data from you:

  • Name and address; 
  • Telephone and e-mail; 
  • Annual figures; 
  • Mailing address; 
  • IBAN; 
  • Telephone and e-mail from the authorized signatory; 
  • Telephone and e-mail from the daily contact persons.

For these personal data the following storage period is used: 

  •  After expiry of the agreement for a period of 5 years.

Personal details of prospects 

Personal details of prospects are processed for the following purposes: 

  •  Providing information in the form of targeted contacts.

The basis for the processing is:
 

  • Oral permission, issuing a business card, linking via LinkedIn, newsletter registration.

For the above purposes we may process the following personal data from you:

  • Name and address 
  • Telephone and e-mail

 For these personal data the following storage period is used:

  • As long as one is seen as a prospect.

Personal data from suppliers

 Personal data from suppliers are processed for the following purposes: 

  • Administrative purposes; 
  • Communication about the assignment. 

 The basis for the processing is: 

  • This is necessary for the execution of the agreement.

For the above purposes we may process the following personal data from you:

  • Name and address;
  • Telephone and e-mail; 
  • IBAN;
  • Mailing address.

For these personal data the following storage period is used: 

  • After expiry of the agreement for a period of 5 years.

4. Processing data of persons younger than 16 years 

Brand Control Rooms does not intend to collect data from website visitors who are younger than 16 years. We encourage parents to be involved in the online activities of their children in order to prevent Brand Control Rooms processing their personal data.

5. Retention periods 

Brand Control Rooms will no longer process / store your personal data than is strictly necessary for the purpose for which the personal data was collected or for compliance with a legal obligation.

6. Share with third parties

Brand Control Rooms shares your personal data with third parties for the execution of an agreement or other legal basis and / or to comply with legal obligations. With companies that process your data in our assignment, we make agreements about the safe and responsible processing of your data. 

 In addition, we can provide your personal data to third parties with your explicit consent. If data is sent abroad, this is only to countries with an appropriate level of protection. Brand Control Rooms uses functional and analytical cookies that do not infringe your privacy. 8. Approach of stakeholders

When legally permitted, Brand Control Rooms can approach you with commercial information. You always have the option to unsubscribe yourself. All communication indicates how you can do this.

9. Rights if we process personal data about you

If we process your personal data, you have the right to view, rectify or delete personal data.
 

You also have the right to limit the processing, the right to object and the right to transfer your personal data. The processing can be limited by you if: the correctness of the personal data is disputed, the processing is unlawful, the processing is no longer necessary for the processing purposes and your right as the data subject outweighs our right to process. As a data subject, you have the right to file against direct marketing / profiling or against processing that takes place because of the legitimate interests of us or a third party (depending on your personal circumstances). You have the right to transfer the collected personal data to yourself or a third party.

To ensure that the request comes from you, we ask you to send a copy of your ID with this request. In addition, BRand Control Rooms also requests that the passport photo, MRZ (machine readable zone, the strip with numbers at the bottom of the passport), passport number and citizen service number (BSN) are unrecognizable on this copy. This is to protect your own privacy. We will respond to the request as soon as possible, within the legal deadline.

If a processing is based on permission, you are entitled at all times to withdraw the consent given.

10. Complaints

If you have a complaint about the processing of your personal data, we ask you to contact us directly. If we are unable to resolve this together, you are at all times authorized to submit a complaint to the supervisory authority (Dutch Data Protection Authority).

11. Security and protection of data

Brand Control Rooms takes the protection of your data seriously and applies appropriate measures to prevent misuse, loss, unauthorized access, unwanted disclosure and unauthorized modification. If you have the impression that your data is not properly secured or there are indications of misuse, please contact your project manager or send an e-mail to info@brandcontrolrooms.com. Brand Control Rooms has taken both technical and organizational measures to protect your personal data security, such as the application of security software (virus scanners, firewalls), strict access security on systems where personal data are processed and the periodic review of security measures based on threats.

12. Changes
